RESPONSIBILITIES Maintain and update Certificate of Insurance - tenants and contractors - on a regular basis. Ensure property paperwork filed within work week. Monitors, refills, orders supplies, and schedules annual inspections for postage meter. Requests repairs for office equipment. Prepares express mailings; orders supplies, when necessary. Orders a variety of office supplies (eg, stationary, monthly reports, electronics). Ensures compliance of managerial audits. Prepares files and records for annual audit. Assist engineering staff in preparation of annual Operations Audit. Assists team members with property budget. ACCOUNTING Ensures invoices are properly coded for approval and payment. Obtains completed W-9 forms from all vendors. Prints Aged Delinquency reports according to designated monthly schedule. Prepares Manual Adjustment forms for all miscellaneous Tenant Service Request (ie requested HVAC over time, labor to hang white boards, keys, etc.). Ensures engineers take monthly readings from electric meters for tenants that have supplemental units. Enters data on tracking spreadsheet, calculates what is owed, bills the tenants, and adds charges to monthly Manual Adjustment Form. OPERATIONS Reviews TSR's noting completion times or dates, daily. Works with engineering staff's discrepancies to be addressed in staff meetings. Drafts contracts within 24 to 48 hours of request. Ensures all tenant access cards are activated deactivated as requested. Schedules and bills special tenant dumpster pickups. TENANT RELATIONS Provide superior customer service to all tenants, clients, contractors and vendors at all times. Assists APM, PM or GM in planning and coordination of all scheduled tenant events. Plans agenda for meetings. Sets up quarterly lunch for Tenant and Property Manager to discuss pertinent building issues. Distributes and updates and revisions to all tenants. Prepares tenant memos and correspondences (eg, building holidays, events). Works with Manager and Engineering staff to plan annual safety warden meetings. Coordinates all aspects of moving arrangements (eg, authorizations, COI). Maintains employee, tenant, and contractor contact lists - including emergency contact information - on a monthly basis. QUALIFICATIONS Bachelor's Degree or commensurate experience required. Microsoft Office proficiency Workplace experience, minimum of 1-3 years in a workplace setting Commercial Real Estate Experience a Plus Establishes course of action to accomplish goals and evaluates results.
